[When opening this file in a spreadsheet software program such as Excel or OpenOffice Spreadsheet use "separated by" and select the comma option, should you be prompted when importing this file. This should put every item in its own separate box in the spreadsheet. You should not see "firstName,lastName,phoneNumber" all in a single box with those commas showing. "firstName", "lastName", and "phoneNumber" should all be in separate fields -- again, in a spreadsheet. In a text file, you will see them together as "firstName,lastName,phoneNumber" and that is correct.]



Steps For Creating A CSV File

  • To make a bulk upload file, it has to follow some very specific formatting for it to work right. This is not hard, but it has to be specific to work. Once you do it once, you will get the hang of it quickly.
  • You can make the file either in a notepad, text editor, word processing program, excel, OpenOffice, OpenLibre, or any other spreadsheet software
  • If you are making this file using a text editor, notepad, or word processing program: the first line needs to look like this: 'firstName,lastName,phoneNumber' (without the apostrophes). Each unique person needs to be a unique line in the file following this same name and cell phone number formatting.
  • If, instead, you are making this file in a spreadsheet program that is divided into rows and columns: The very first row at the very top left corner of the page in your spreadsheet needs to have these words as the words in those fields: 'firstName', 'lastName', and 'phoneNumber' (without the apostrophes). Each person is added as a new row in these columns with their first name, last name, and cell phone number in unique fields
  • Helpful tip! Save your document frequently so you don't lose your data if your software crashes and it is a large file
  • When you save your file, you need to save it as a CSV file. This means when you look at the file in Windows Explorer, for instance, it has the name of the file followed by a period followed by "csv", like this "qlumilist.csv" -- the last three letters have to be "csv" or the file is not the correct file type and won't work correctly. Each item should be separated by a comma. If you are using a spreadsheet program and are exporting the file as a CSV file, if you are prompted to choose how to delimit each item, select the "comma" option.
  • Before you upload the file, look at it in a text editor or notepad and make sure you do not see anything that looks like this: ",name,number" or "name,,number" or ",,number" or "name,name," In each of these cases, it would mean you are missing a first name, last name, or cell number which will create a problem. It should always look like this: "name,name,number" on each line.


It is 100% necessary that you use the mobile phone number for your guests as we use this for finding your guest for sending out SMS text message invites and for finding them in our database so that the right person receives your invitation.



Making Changes To Your Groups

  • If your organization's contact list changes quite a bit, you should name your Groups according to dates for your latest list rather than giving it another type of Group name. The reason for this is we have not as yet created a method for you to update or delete your Groups. That will be coming in future updates. For now, your Groups are stuck in time. For now -- each time you update your contact list to whom you wish to send invitations, you will need to create a new Group based on the updated contact list. Sorry for the current inconvenience.




Trouble Shooting

  • If you are receiving errors when trying to upload the file make sure of the following:
    • You are not skipping lines
    • You have saved the file as a .csv file. Sometimes Windows saves files as .csv.txt file. Look at the file in your Windows Explorer and see what extension is put at the end of the file
    • Make sure you are not having missing parts, such as a first name but no last name. All fields must have data in them and the last field definitely needs to be a mobile cell number
  • You should see commas "," between first name, last name, and mobile number. If you see anything else such as a ";" or "|" or "/" then this file is not properly formatted.
  • If your guests are showing up in a Group but are not receiving an invitation, make sure they gave you their mobile or cell number and not a home number. It is a smartphone app so they are going to need a smartphone with its own telephone number.


IMPORTANT: It is 100% necessary that you use the mobile phone number for your guests as we use this for finding your guest for sending out SMS text message invites and for finding them in our database so that the right person receives your invitation.
